Shopify Inventory Sync
Running a shop and a dispensary means counting everything twice.
A retail storefront and a custom formulation dispensary are two businesses sharing one shelf. Most people run them on two systems, keep two sets of numbers, and find out they disagree when a customer has already bought something that is not there.
The headache
Two systems, one shelf.
The same jar, counted twice
A herb you sell by the bag online is the same herb you weigh into a formula. Two systems, two counts, and no agreement between them by Wednesday.
Overselling, then apologizing
The storefront sells stock the dispensary already used. Somebody emails a customer to explain, refunds them, or substitutes something. That is the expensive part — not the stock, the trust.
Reconciling by hand
Somebody exports both, lines them up in a spreadsheet and adjusts. Weekly if you are disciplined, monthly if you are honest, and it is out of date before it is finished.
Nobody trusts either number
Once the two counts have disagreed a few times, staff stop believing the screen and go and look at the shelf. Which is where you were before you bought either system.
What changes
The jar gets counted once.
Two systems
- Shopify says 40 bags. The dispensary used 12 of them on Tuesday.
- A customer buys the 35th bag.
- You find out at packing.
- Refund, substitute or apologize.
- Someone reconciles both on Friday.
One count
- The dispensary draws 12 bags. Stock is 28 everywhere.
- Shopify will not sell a 29th.
- Nothing to find out at packing.
- No apology, no refund, no substitution.
- Nothing to reconcile on Friday.
One count, two shopfronts
A sale on Shopify and a formula compounded in the dispensary draw down the same number. The jar is counted once, wherever it is sold from.
Stop overselling
Because the storefront knows what the dispensary just used, it stops selling stock that is no longer there. The apology email stops being part of the week.
No more weekly reconciliation
There is nothing to reconcile. The spreadsheet that existed only to make two systems agree can go.
One number to trust
When the count is right, people use it. Reorder limits, purchase orders and consumption rates all become worth reading.
It syncs both ways
Your Shopify details come into Dispensary Tree, and your dispensary inventory goes out to Shopify. Neither side is left holding an old number.
Who this is for
Not everyone needs it.
If you only dispense, you do not have this problem. This is for dispensaries that also sell retail — bagged herbs, patents, skincare, anything with a Shopify listing and a place on the same shelf.
